Privacy Policy

Information we collect

When you create an account, Firebase Authentication processes your name, email address, password credentials, authentication identifiers, and sign-in activity. LetMiles.com does not receive your plain-text password.

Firestore stores your profile, your recent and explicitly saved search history—including location label, coordinates, radius, result count, timestamp, and references to the companies in that result list—and support requests you choose to submit. Search history is restricted to your signed-in account.

When you add a dealership to My dealerships, Firestore stores an owner-only membership containing the company reference, when it was saved, and the originating search location and distance. My dealerships is a private account library and is separate from search history. Public business details are stored in a shared internal company cache available to the authenticated application for duplicate detection and research reuse, including contact fields, map coordinates, source links, and the account identifiers that first and most recently saved the record.

If you choose to remember a Google Sheets destination, Firestore stores one spreadsheet identifier and title, the LetMiles-managed tab identifier and title, ownership, and timestamps. LetMiles.com does not store Google access or refresh tokens.

If you explicitly start an AI-assisted dealership call, LetMiles.com stores the dealership, destination phone number, your call objective and disclosure, consent attestation time, provider identifiers, call status, and the returned summary and transcript. Calls are associated with your signed-in account. Audio recording is disabled in the configured automation.

How we use information

We use account information to provide sign-in, show and rerun search history, maintain your private My dealerships library, remember your chosen Google Sheets destination, enforce search limits, attribute updates to the shared internal company cache, respond to support requests, prevent misuse, and improve the product experience.

Service providers

LetMiles.com uses Google Firebase for authentication and database services, Sites infrastructure for application hosting, Overture Maps place data stored in the application database, optional Brave Web Search or private SearXNG for web discovery, and an optional privately operated Ollama-compatible endpoint for evidence extraction. Public business listing details and search queries may be sent to the configured research services; account passwords and Firebase credentials are not. Managed-search responses are not retained, though evidence later read from a verified official business website may be saved with the shared company record. If you explicitly connect or export to Google Sheets, the selected dealership data and spreadsheet requests are sent to Google. Those providers may process technical information such as IP address, browser details, and service logs under their own terms.

Analytics and payments

When you explicitly start an AI-assisted call, the phone number, call instructions, and conversation content are processed by a private n8n automation and ElevenLabs. After a completed call, the private automation may send confirmed dealership and contact details to your connected HubSpot account. Account passwords and Firebase credentials are not sent to these services.

Although the Firebase project includes a measurement identifier, this demo does not initialize Google Analytics. Billing is not active, and LetMiles.com does not collect payment-card details.

Retention and deletion

Account, search-limit, support, and shared company-cache data may be retained while the beta is operating and as reasonably needed for security or legal obligations. You can clear recent search history, unsave retained searches, and remove dealerships from My dealerships in the dashboard. Disconnecting a remembered Google Sheets destination removes its connection metadata from LetMiles.com; it does not delete the Google spreadsheet or previously exported rows. Removing an account does not automatically remove shared public-business records used for duplicate protection. To request deletion, sign in and submit a “Privacy or account deletion” request on the Contact page.

Security and your choices

Call logs are restricted to your authenticated account. AI-assisted calls occur only when you request them. You are responsible for having permission to call the destination, making legally required disclosures, and following applicable telemarketing, recording, and privacy laws. Do not include sensitive personal information in call instructions.

Your profile, search history, My dealerships memberships, and remembered Google Sheets destination are restricted to your authenticated account. The shared company cache supports the signed-in application internally and is not a private account list or a browsable product page. Google access tokens are short-lived, remain in browser memory, and are not stored by LetMiles.com. Spreadsheet exports occur only when you request them; LetMiles.com does not run background synchronization. No internet service is risk-free. Use a unique password and do not submit sensitive personal information in search labels or support messages.

Children

The demo is intended for business users and is not directed to children under 13.

Changes and questions

We may update this policy as the product, data providers, or business model changes. The effective date above will be updated when material changes are published. Signed-in users can send privacy questions through the Contact page.
